Most of the personal information we process is provided to us directly by you for one of the following reasons:

We use the information that you have given us in order to carry out our charitable activities, including our Vannucci Artist Residency (“VAR”) Programme, and in order to give our Resident Artists and our supporters the best possible experience. We are committed to being honest and respectful in collecting and using your personal data. If you have subscribed to our newsletter, you have the option to unsubscribe at any point and have your personal information deleted.
When visiting our website we may also collect the following information:
Automatically populated IP address: a public IP address is a unique number which allows a computer, group of computers or other internet connected device to browse the internet. The log file records the time and date of your visit, the pages that were requested, the referring website (if provided) and your internet browser version. This information is collected to help diagnose and manage the website, to audit the geographical make-up of users, and to establish how they have arrived at the website.
Cookies: we use cookies to help make the experience of using our website better and to personalise the service you receive from us – this means we will remember your previous visits and track the pages on our website that you visit.

to make arrangements for and carry out your Residency
to maintain contact with you as a VAR alumni thereafter
for fundraising purposes (see Fundraising section below)
We will not hold more information than required and will ensure all personal data held is kept up to date and used only for its specific purpose(s) outlined above. The retention policy will vary according to the purpose and may be contingent on circumstances when required to keep the data on the grounds of legal obligation and legitimate interest.
We will not sell, rent, trade or distribute your personal data to any third parties for marketing purposes unless we have received your prior permission to do so.
Fundraising:
As a registered charity, we rely on funds from donors and may seek to raise funds from a variety of different sources including individuals, companies, charitable trusts and other grant-giving bodies.
Where we believe there is ‘legitimate interest’, we may seek additional information before contacting individuals or companies to determine whether there is a suitable reason to engage with them, such as a shared interest or potential connection. We may also use public research in assessing applications for the VAR Programme to enhance the selection process and assist in structuring individual Residencies. Additionally, we may hold and process professional details of individuals who are potential supporters, patrons, donors or sponsors when there is a legitimate interest to do so. This could be to seek further information from a company or grant giving body regarding a funding opportunity or to follow up with an organisation to keep them informed of programmes which they have funded.
How we store your personal information:
All personal information provided to and retained by us is kept confidential and stored in a secure database that is only accessible by trustees or their delegates. We will keep your information only for as long as is reasonably necessary for the purposes set out in this privacy notice. We will not keep more information than we need and the retention period will vary according to the purpose. We will take appropriate technical and organisational steps to ensure the security of personal data about individuals. All trustees and those with whom we work are aware of their duties under Data Protection Law and will receive relevant training.
